PERSONAL ASSISTANT TO SENIOR SOCIAL WORK MANAGER

JOB REQUIREMENTS

  • Proven work experience (3-5 years) as a personal assistant/ office administrator.
  • Recognized 3 year PA or Secretarial qualification.
  • Knowledge of office management systems and procedures.
  • MS Office with advanced Excel skills; Pastel experience will also be preferred.
  • Outstanding organisational and time management skills.
  • Up to date with latest office gadgets and applications.
  • Ability to multi task and prioritize daily workload.
  • Excellent verbal and written communications skills.
  • Must be able to speak English fluently.
  • Ability to communicate in Afrikaans and at least one African language will be an added advantage.
  • Discretion and confidentiality.
  • A qualification in social work or related field would be considered an advantage.

MAIN FUNCTIONS

  • Organize the programmes meeting monthly.
  • Arrange the venue and compile the agenda.
  • Record minutes and distribute minutes of the meeting to the staff.
  • Filing of minutes.
  • Manage the diary of the Senior Social Work Manager, arrange meetings and visits.
  • Ensure filing is up-to-date.
  • Receive monthly reports from the team by 25th of the month, check information and present it to the manager.
  • Arrange and prepare monthly stats and reports.
  • Handle enquiries and phone calls relating to programme matters and screen calls to the manager.
  • Handle all correspondence relating to programme activities.
  • Handle all typing of documents.
  • Update programme contact details.
  • Assist with the compiling information for the RD team.
  • Order stationery for the department.
  • Assist in coordination of transport as required.
  • Assist in facilitation of catering as required.
  • Assist the Senior Social Work Manager, as required.

N.B As the organization develops and new needs arise, these duties could be renegotiated with the employee.
